As the data controller, we are responsible for processing any personal data you provide to us. We are committed to safeguarding your information and preventing unauthorized access or use.

Personal data refers to any information about an individual that can identify that person. At London Soccer Stars, we collect, use, store, and transfer some personal data of our players, their parents or guardians, and other club members.

You provide information about yourself when you register with the club, fill out forms at events or online, or communicate with us via phone, email, or other methods. This information may include your name, date of birth, address, email address, phone number, gender, and emergency contact details. We may also request relevant health information, classified as special category personal data, to ensure your health, welfare, and safeguarding needs are met. We will only hold this data with the explicit consent of the participant or, where applicable, the participant's parent or guardian.

If we need to collect personal data to fulfill our club responsibilities and you do not provide that data, we may not be able to honor or manage your membership effectively.
Why We Need Your Personal Data
We will use your personal data only for the purposes for which it has been provided. The primary reason we need participants’ and members’ personal data is to manage the football club, organize matches, administer memberships, and provide the services associated with membership. Our lawful basis for processing your personal data is that we have a contractual obligation to you as a participant or member to provide the services for which you have registered.

We have outlined below a summary of the ways in which we plan to use your personal data and the legal grounds for doing so. Where appropriate, we have also identified our legitimate interests.
Who We Share Your Personal Data With
When you become a member of London Soccer Stars, your information—if you are a coach, volunteer, or other participant—may be entered into the Whole Game System database, administered by the FA, depending on which league(s) your team plays in. We also provide your information to the County FA and leagues to register participants and teams for matches, tournaments, or other events and for affiliation purposes.

We may share your personal data with selected third parties, such as suppliers, charity partners, subcontractors, referees, coaches, or match organizers. These third-party service providers will only process your personal data for specified purposes and according to our instructions.

We may disclose your personal information to third parties to comply with legal obligations or to protect the rights, property, or safety of our participants, members, affiliates, or others.

In some cases, the Club’s data processing may require your personal data to be transferred outside of the UK. Where this occurs, we ensure that adequate safeguards are in place to maintain the security of your personal data.
How Long We Hold Your Personal Data
We retain personal data for our participants and members while they continue to be involved with the club or are otherwise actively associated with us. We will delete this data three months after a participant or member has left or ended their membership or affiliation, or sooner if specifically requested and feasible. However, some personal data may need to be retained longer for legal or regulatory reasons. The personal data stored on the Whole Game System is subject to their privacy policy, so we encourage you to review that policy alongside this notice. If you wish to have your personal data deleted from the Whole Game System, please contact them directly.
Your Rights Regarding Your Personal Data
As a data subject, you have the right to request access to, rectification, or erasure of your personal data at any time; to restrict or object to certain types of processing of your personal data, including direct marketing; to the portability of your personal data; and to lodge a complaint with the Information Commissioner’s Office (ICO) regarding the processing of your personal data.

You are not required to share your personal data with the club, but if you choose not to, we may not be able to register or manage your membership.
